Refund Policy
How billing, cancellation, and refunds work across our services.
Draft — not yet in force
This policy is a working draft pending legal review and is not currently binding. The terms that govern your relationship with us are those set out in your signed service agreement or Revenue Share Agreement. If anything here conflicts with your signed agreement, the signed agreement prevails. Questions: theo@triumvirateco.org.
1. Managed service subscriptions
Managed IT service tiers are billed monthly in advance, in United States Dollars. Billing begins on the date service is activated, not on the date the agreement is signed.
- Cancellation. You may cancel at any time by giving [TO BE CONFIRMED — suggest 30] days’ written notice to the address below. Service continues through the end of the notice period.
- Part-months. The month in which you cancel is [TO BE CONFIRMED — pro-rated / not pro-rated].
- Unused service. Monthly fees already paid for periods in which service was available to you are not refundable, whether or not support was requested during that period.
2. Onboarding and project work
Migrations, audits, and other fixed-scope project engagements are quoted separately from monthly subscriptions.
- Deposits are [TO BE CONFIRMED — refundable / non-refundable] once work has commenced.
- If we cancel a project before completion for reasons within our control, we refund the unearned portion of fees paid.
- Hourly consulting is billed in arrears and is not refundable once the hours have been delivered.
3. Service failure
Where we materially fail to deliver a contracted service, the remedy is [TO BE CONFIRMED — a service credit against the following month / a partial refund], calculated as set out in your service agreement. Outages caused by upstream providers, connectivity failures outside our control, or force-majeure events are excluded, consistent with the force-majeure provisions of the service agreement.
4. Investor contributions
Capital contributed under a Revenue Share Agreement is not a purchase and is not covered by this refund policy. It is at risk, it is not redeemable on demand, and it is not guaranteed to be returned in whole or in part.
Withdrawal, assignment, and any cooling-off period are governed exclusively by the signed Revenue Share Agreement and by Rwandan law. Whether a cooling-off period applies, and its length, is [TO BE CONFIRMED — requires legal advice]. Nothing on this page creates a right to the return of contributed capital.
5. How to make a request
Send your request in writing to theo@triumvirateco.org, including the account or agreement name, the invoice concerned, and the reason for the request. We acknowledge every request within [TO BE CONFIRMED — suggest 5] business days and aim to resolve it within [TO BE CONFIRMED — suggest 20] business days. Approved refunds are returned by the original payment method.
6. Changes to this policy
We may update this policy from time to time. Material changes will be notified to active clients in writing before they take effect, and will not apply retroactively to work already invoiced.
